Integr8 Excel Data Cleansing

If you store your customer details in an Excel spreadsheet, why waste time with other online or bureau data cleansing services, extracting and re-importing your data, when you can do it all within Excel itself at a click of a button?

Data8's unique Integr8 Excel data cleansing solution installs on your computer and adds a new "Cleanse Data" button to your Excel toolbar. Just open your Excel spreadsheet, click the "Cleanse Data" button and answer a few simple questions. Your data will be cleaned without having to leave Excel, saving valuable time and making the data cleansing process accessible to anyone.

After installing the Integr8 Excel software, open your customer spreadsheet in Excel. You'll see a "Cleanse Data" button added to the toolbar (in Excel 2007, this is found under the new "Add-Ins" ribbon). Click this button to start the data cleansing process.

Select which data you want to clease. You can either choose to cleanse all the data in a sheet, or you can select a specific range of data if your sheet contains both a list of customers and other data.

You now need to select what sort of data is contained in each of your columns, for example whether a column contains a forename, surname, address line or telephone number. You can click the "Auto Detect" button and the software will attempt to determine the type of data in each column automatically, which you can then confirm and modify as necessary.

Your data is now ready to be processed. You now need to select a profile which describes what data cleansing services it should be processed against. As you do not need to buy the results of every data cleansing service you select at this point, you can choose to process it against all the available services using the default "Full" profile. However, if you are only going to be interested in certain services you can create a profile that only performs those services, reducing the amount of time required for processing.

Your data is now being cleansed at our secure data centre. You can monitor the progress of the cleansing process here, or switch back to Excel or other applications and continue working until it is complete.

Once your data has been processed, you will be presented with a free report detailing both the current state of your data and how it can be improved. You can open this report in your web browser and save it for future reference.

You now have the opportunity to buy the cleansed data produced by any of the services that have been performed on your data. For each service you can choose whether or not to buy the results, and many of the services have additional advanced options to control exactly how the data will be returned.

Once you have selected which data you would like to purchase, you will be shown a final quote for the data. Simply enter your purchase order number and your cleansed data will be produced. An invoice will be emailed to you automatically for your records.

Now that your cleansed data is ready, you can simply select where you would like it to go. You can either choose to save it to a new file separate from your original data, or you can create a new sheet in your spreadsheet to hold the data. Finally, you can choose to import it directly back into the sheet it came from. If any records have been removed as part of the cleansing process, you can choose whether or not those records and any associated data on the same rows should also be removed from your spreadsheet.

Remember that you will need a Data8 account and that the Integr8 Batch data cleansing service must be enabled on your account before you will be able to use the software - please speak to your Data8 account manager to set this up.
